Minutes Preparation
“The official record of the proceedings of a deliberative assembly is usually called the minutes….The minutes should be kept in a substantial book or binder.”
Robert’s Rules of Order Newly Revised (11th ed.), page 468
Many organizations have the Goldilocks Conundrum with their minutes– their records contain either too little or too much information. Our Principal is a Professional Registered Parliamentarian that has studied and been trained in the drafting of minutes that are in perfect compliance with Robert’s Rules.
Don’t let meeting minutes or other secretarial duties make you sweat anymore! Last Minute Meetings will take care of it for you. Our professionals can serve in an association / corporate secretary role, conducting activities like:
- Drafting meeting minutes
- Creating meeting agendas
- Sending out official notices
- Maintaining organizational files electronically
Below are examples of typical engagements under this category of service. As always, please do not hesitate to contact us or schedule a free consultation if you have questions or would like a quote.
Temporary Secretary
Don’t allow a scheduling conflict with your secretary be the cause of a cancelled meeting. Robert’s Rules allows for the election of a Secretary pro tem to handle business in their absence. As our name implies, we would be more than happy to fill in at the last minute to make sure your meeting goes on as scheduled.
Permanent Secretary
Oftentimes a voluntary secretary is not enough! Last Minute Meetings can provide you with a year-round, permanent Secretary to attend all of your meetings and handle your minute-taking. Already have a permanent or Corporate Secretary? That’s ok; our staff can be delegated authority to simply draft minutes on their behalf, allowing them to retain oversight and freeing up their time for other duties.
Policy Management
Many Boards of Directors will vote on regulations, but, unless they are organized in a coherent manner, constituents will have difficulty complying. This is especially true with community associations such as homeowners associations or condominium associations. Without attention to detail, members of the organization might become confused about whether a new regulation is an amendment of a previous one or an outright repeal. Not to worry–our staff can keep accurate records of your organization’s or corporation’s policies, and present them in an electronic format that’s easy to understand.
